Coaches

This handbook contains key guidelines and requirements to maintain status as a coach in the Central Hempfield sports programs.  This handbook applies to all head coaches and assistant coaches and is intended to ensure that we provide the most positive experience possible to the children and parents in our programs.

 

FAILURE TO COMPLY WITH THIS HANDBOOK MAY RESULT IN REMOVAL FROM A COACHING POSITION OR MAY LIMIT CONSIDERATION FOR FUTURE COACHING OPPORTUNITIES.

 

Head Coach Criteria

            Each season the Board of the Central Hempfield will select head coaches by majority vote, following sign-ups and after the number of teams have been set.  To do this the board will objectively consider the following criteria (in no particular order):

  • Coaching experience and knowledge of the game of baseball
  • Ability to instruct players on proper fundamentals and techniques
  • Ability to organize
  • Ability to motivate players in a positive manner
  • Availability
  • Overall attitude and demeanor
  • Overall conduct and sportsmanship
  • Involvement and dedication to the organization
  • Ability to communicate with players, parents and other coaches

Head Coaches will appoint up to three Assistant Coaches to be submitted to the Board for approval.

 

Requirements to become a coach

  • Head coaches must be a minimum of 21 years of age
  • Must complete and submit all required criminal background and child abuse clearances.   Coaches WILL NOT be permitted to coach regular season games without having valid clearances on file.
  • Must carefully read and understand the official Central Hempfield By-Laws
  • Must carefully read and understand this handbook
  • Must turn in the signed acknowledgement included with this handbook

 

Equipment

  • All equipment and keys shall be turned in to the Central Hempfield Equipment Manager following the last regularly scheduled league game of the season, including end-of-season playoffs.  NO EXCEPTIONS.
  • Equipment is one of the Central Hempfield’s greatest expenses.  Coaches must ensure that equipment is treated properly and maintained.
  • Head Coaches are responsible for contacting the Equipment Manager with any equipment needs and to report any lost/missing/damaged equipment that needs replaced.   The Equipment Manager maintains a detailed inventory of all equipment issued and received by each coach.
  • Equipment/keys will be re-issued each season to the appointed coaches
  • Equipment/keys will be re-issued at the end of the regular season as needed to those coaches chosen as All-Star and Tournament coaches.
  • Equipment/keys will be issued as needed for any fall ball programs approved by the Board.

 

Roster Management

The Central Hempfield Board expects all coaches to manage rosters in such a manner to provide appropriate learning opportunities to all players regardless of skill.  The Central Hempfield Board believes that it is our responsibility to develop the abilities of all players, which includes giving players opportunities to experience multiple positions particularly at the younger age groups.

 

All age groups:  All players must play a minimum of 3 innings defensively unless prevented by a shortened game. 

 

9-10 Baseball and Softball: The board believes that intent of the 9-10 age group is to still be developmental.   As such, the board is strongly in favor of enhancing the learning of all players:  Every player shall be given the opportunity to play infield positions and all players should be afforded the opportunity to experience more than one position.  All players shall play at least one (1) inning at an infield position each game.  Every effort should be made to increase the number of innings when the score allows.  Exceptions should only be made if a player’s abilities preclude them from safely playing the position. 

 

7-8 Coach-Pitch Baseball and Softball:  A player may play a maximum of three (3) innings at any given position.  All players must play at least two (2) innings at an infield position each game.  Exceptions will only be made if a player’s abilities preclude them from safely playing the position. 

Tee-Ball:  Coaches shall create a rotation of positions that will give every player an opportunity to play every position on the field at least once throughout the season.  Players shall proceed through the position rotation each inning of play. 

 

Communication

Effective communication between coaches and parents, and between coaches and the Board, is essential to the health of the organization.  Failure of coaches to keep families properly informed may be grounds for removal or for exclusion in future seasons.  Coaches are expected to adhere to the following:

  • Head Coaches will develop a clear method of communication to parents at the beginning of the season.  This can be accomplished via a phone tree, an app, through a team parent, or can be the responsibility of the coaching staff. 
  • Head Coaches will ensure regular communication to parents about the status of practices, games, post-season play, fundraising activities and leisure activities (such as post-season parties).  
  • Head Coaches will ensure adequate notice (at least one hour in advance) of cancellation of scheduled practices and/or games.
  • The Head Coach will appoint a responsible party to act in their place should they be unavailable during the season.  This person will be responsible for maintaining communication with parents in the absence of the Head Coach.  This person will also be responsible for contacting the opposing head coach in the event of a home game cancellation should the Head Coach be unavailable. 

 

All-Star / Tournament Play

  • The Board must approve all-Star and Tournament teams playing under the name of Central Hempfield.
  • The Board will arrange to oversee the fair selection of players per the By-Laws, and will select the Head Coach following the selection of players.
  • Under no circumstances should a coach establish an All-Star or Tournament team under the name of Central Hempfield without board approval and outside the guidelines of the By-Laws. 
  • Coaches may elect to establish and independent team but shall not use the Central Hempfield name, equipment or fields.

 

Fall Ball

  • Coaches desiring to establish a Fall Ball team under the name of Central Hempfield must seek Board approval and follow the guidance of the Board and By-Laws for establishing a roster.  Use of the Central Hempfield name, equipment or fields for Fall Ball programs without Board approval is prohibited.

THE Central Hempfield COACHES’ CODE OF CONDUCT

 

Coaches shall remain unconditionally supportive of the Organization’s commitment to the ideals of good sportsmanship, team play, honesty, loyalty, courage and respect for authority.  Likewise, coaches shall remain sensitive to the physical and emotional well being of the players on his/her team.  In order to adhere to these doctrines the coaches agree as follows:

 

Ø  Coaches will be positive role models

Ø  Coaches will display and instill in their players the principles of good sportsmanship and team play

Ø  Coaches will conduct themselves in a manner that best serves the interests of the players

Ø  Coaches will do their best to provide the players a positive experience

Ø  Coaches will ensure that winning and/or losing teams do so in a manner, which exhibits respect and good sportsmanship

Ø  Coaches will treat all players, parents, spectators and league officials with respect

Ø  Coaches will provide instruction in a manner that is constructive and supportive

Ø  Coaches will not ridicule or demean

Ø  All coaches will complete a background check in accordance with H.A.A.A.

Ø  Coaches will not tolerate behavior that endangers the health or well being of a child

Ø  Coaches will comply with the decisions of league officials and observe all rules, policy and procedure as established or endorsed by Central Hempfield

Ø  Coaches will teach the game of baseball to the best of their ability

Ø  Coaches will be drug and alcohol free while at any Central Hempfield athletic event

Ø  Coaches will not use any tobacco products in the sight of players

Coaches acknowledge the need to demonstrate fundamental proficiencies with respect to the games of baseball/softball and first aid.  Consequently, all coaches agree to attend any skill sessions that may be required by the Board of Directors and moreover, any first aid courses that may be mandated by the Board.

 

COACHES’ ACKNOWLEDGEMENT

(This copy to be kept by the Coach)

 

I, (print name here) ____________________________________, acknowledge that I have read and agree to comply with the Central Hempfield Code of Conduct and Coaches’ Handbook.  I also accept that breaches of this Code may carry consequences as deemed necessary by the board of Central Hempfield which may include dismissal from a coaching position or may effect consideration for future coaching positions.

 

I also acknowledge that I have read and agree to comply with the Central Hempfield By-Laws and that head coaches must make every attempt to attend regularly scheduled coaches’ meetings during the season.  I understand that failure to attend coaches’ meetings may carry consequences.

 

I agree to contact the Equipment Manager within one week of the final regularly scheduled game to arrange for all equipment and keys to be turned in.

 

I also acknowledge that I have been informed by the Central Hempfield Board that I must complete a Criminal Background Check and a Pennsylvania Child Abuse History Clearance Form within 30 days of signing this document as required by H.A.A.A.  I also understand that I am responsible for any fees incurred to acquire these clearances.   I understand that no coach will be permitted on the field to coach in a league game without the required clearances.

I also acknowledge that I have read and agree to comply with the CRAA By-Laws and that head coaches must make every attempt to attend regularly scheduled coaches’ meetings during the season.  I understand that failure to attend coaches’ meetings may carry consequences.

 

I agree to contact the Equipment Manager within one week of the final regularly scheduled game to arrange for all equipment and keys to be turned in.
